Information we collect

The information we hold depends on our relationship with you.

For candidates and prospective candidates, it may include your name and contact details; current and previous employment; education, qualifications and professional experience; compensation and career preferences; information contained in a CV or professional profile; our communications with you; interview or assessment notes; and information supplied by referees or other professional contacts.

For clients, prospective clients, referees and professional contacts, it may include your name, role, organisation, business contact details and records of our communications and working relationship.

We may obtain information directly from you, from publicly available professional sources such as LinkedIn and company websites, from referees, or through recommendations and professional contacts.

Please do not provide special-category information, such as health, ethnicity, religion or political beliefs, unless it is relevant and we have asked you to provide it. Where we need to process such information, we will do so only where permitted by law and, where required, with your explicit consent.

How and why we use information

We use personal information to:

  • identify and contact people who may be suitable for relevant opportunities;
  • assess experience, qualifications, interests and suitability;
  • introduce candidates to clients and manage search assignments;
  • communicate with candidates, clients, referees and professional contacts;
  • verify information and obtain references where appropriate;
  • manage our business relationships, contracts, administration and records;
  • establish, exercise or defend legal claims; and
  • comply with legal and regulatory obligations.

We normally rely on our legitimate interests in providing executive-search services, identifying suitable candidates and maintaining professional relationships. We may also process information where necessary to take steps at your request, perform a contract, comply with a legal obligation, or where you have given consent. You may object to processing based on legitimate interests; we will consider your request against any compelling legitimate grounds for continuing.

We do not make decisions about individuals using solely automated decision-making or profiling.

Sharing information

We may share relevant candidate information with a client considering that person for an opportunity. We will normally discuss an opportunity with you before presenting detailed information or indicating your interest to a client.

We may also share information with service providers that support our business, such as email, IT, hosting, communications and professional advisers. They may use the information only to provide their services to us and must protect it appropriately. We may disclose information where required by law, a court or a competent authority, or where necessary to protect legal rights.

We do not sell personal information.

International transfers

Our work is international and may involve clients or service providers outside the United Kingdom, including in the United States. Where personal information is transferred to a country that is not covered by UK adequacy regulations, we use an appropriate safeguard recognised under UK data-protection law, such as the UK International Data Transfer Agreement or the UK Addendum to approved standard contractual clauses, unless another lawful exception applies.

Retention

We keep personal information only for as long as reasonably necessary for the purposes described in this notice and to meet legal, contractual and regulatory obligations. Candidate and professional-contact records are normally retained for no longer than six years after our most recent meaningful contact, unless there is a lawful reason to retain them for longer. Some financial, contractual or legal records may need to be kept for a different period.

You may ask us to delete your information at any time. We will comply unless we have a lawful reason to retain some or all of it.

Security

We use reasonable technical and organisational measures intended to protect personal information from loss, misuse, unauthorised access, alteration or disclosure. No system can be guaranteed completely secure.

Website and cookies

Our website does not use non-essential cookies or behavioural advertising. Our hosting provider may process limited technical information, such as IP address, browser information, requested pages and timestamps, in server logs for security, operation and fault diagnosis.

Our website links to external services including LinkedIn and WhatsApp. If you follow those links, the external provider processes information under its own privacy terms. Atlantic Executive does not control those services.

Your rights

Depending on the circumstances, UK data-protection law gives you rights to:

  • ask for a copy of your personal information;
  • correct inaccurate or incomplete information;
  • ask us to delete or restrict the use of your information;
  • object to processing based on legitimate interests or for direct marketing;
  • receive certain information in a portable format; and
